Q3.1 Can I change my CATS site name and/or company name?
Yes, you are able to change your CATS site name that you use to log in (https://sitename.catsone.com/), and the way your company name is displayed by doing the following:
- Log in to your CATS site as an administrator.
- Navigate to the "Settings" tab.
- Click the "Administration" link in the blue bar.
- Click the "General Configuration" link from the list below.
Change your setting here, and click the "Save" button to apply changes.
Q3.2 If our business has changed countries, how can we update our country selection for candidates?
If you go to "Settings->My Profile->Edit My Information" and change your country to what the new country is, it should change the default country for candidates.
Q3.3 How do I hide jobs.catsone.com from my careers page?
This is commonly referred to as domain/sub-domain masking. In order to do this, please do the following:
1) You'll need to login to whoever provides DNS for your website (GoDaddy, Network Solutions, etc.). Using the domain management tools, create what's called an "A Record" pointing a new sub-domain (i.e.: jobs.yourname.com) to the following IP address: 216.250.181.101. (If you are unaware of how to do this, please contact the FAQ or support for your domain provider; it's a fairly common task and there should be documentation on their website.)
2) Once this has been completed, please email us the sub-domain that you chose to support@catsone.com and we'll complete the setup on our end.
Q3.4 How do I change my site logo?
Your site administrator is able to change your careers website's logo by doing the following:
1) Navigate to the Website tab.
2) Click the Page Design link in the blue bar.
From here you will be able to upload a new site logo.
Q3.5 How come I am getting logged off and have to sign back in several times a day?
First, it's important to note that CATS doesn't expire your login after a certain period of time or regularly ask you to sign back in. If you're getting kicked out, here are the usual suspects:
Another person is logging in on another computer
You can only be logged into CATS on one computer at a time. If someone signs in on another computer using your user credentials, you'll be kicked off and they'll be allowed in.
You're using the CATS Firefox Toolbar and didn't follow the instructions exactly
When you install the Firefox toolbar, the instructions page in CATS tells you to use a specific value for the "URL" field. This value should start with "https" and NOT "http" (notice the extra 's'). If this is not set correctly, you'll be logged off fairly regularly. To fix this:
1) Click on "Options" on the Firefox toolbar.
2) In the first field, make sure it starts with "https" and NOT "http".
3) Save changes.
You're behind a proxy or corporate intranet
While in many cases this should be fine, certain stricter settings may interfere with your connection and log you off. You can contact your IT department and ask them to investigate, or you can use our single-server URL (http://dotcom1.cognizo.com) to login instead of (www.catsone.com).
You've disabled cookies, javascript or installed Plug-ins, Browser Extensions, Anti-Spyware Scanners or Firewalls that interfere with your cookies
CATS requires that you enable cookies and javascript to run correctly. If you've disabled either, or have any plug-ins or software that interfere with cookies, then you'll need to either disable those tools or add "catsone.com" as a trusted site.
Alternatively, you could try installing a different browser (such as firefox: http://www.getfirefox.com) just for using CATS. Almost all browsers default to having cookies and javascript enabled and it would be a clean slate from any invasive plug-ins you might have running on your primary browser.
Q3.6 How can I setup my domain so that it points to my CATS careers page?
You probably already have a website where you post information regarding yourself or your company, lets assume this is www.yourname.com.
CATS allows you to setup what's called a subdomain which is an extension of your domain. www.yourname.com would remain the same because this is still how you'll want to advertise your website. A subdomain looks like jobs.yourname.com.
To see your website: http://www.yourname.com
To see your jobs: http://jobs.yourname.com
You would then add a link to your website (www.yourname.com) that points to your jobs (jobs.yourname.com). You would probably call this link "Jobs" or "Career Opportunities" (or whatever you like).
To setup a subdomain, you'll first need access to your DNS account. A DNS provider is who you purchased your website domain (yourname.com) from. Some popular providers are GoDaddy, Network Solutions, etc.. If you used a contractor or a website design firm to build your website, contact them directly to setup the subdomain for you, or ask them who they purchased your domain from.
Through your DNS provider, you will need to add what's called an "A" record. To perform this operation, you will need two pieces of information:
1) The name for the subdomain (this would be "jobs" if you want jobs.yourname.com).
2) Our IP address: 216.250.181.101
If you can't figure out how to add an "A" record, you'll want to email your DNS providers support for instructions, or ask them do this for you. It's a very common operation, just email them the above two pieces of information and tell them that you're trying to create an "A" record.
Once you've added the "A" record through your DNS provider, send our support team an email (support@catsone.com) with the name you chose (see item #1 above under the two pieces of information you'll need, i.e.: "jobs") and the name of your company in CATS and we'll complete the setup on our end.
Q3.7 How do I link my job board posts to my Careers Website?
First, add the job order in CATS and make sure the "Public" checkbox is checked. Now, view the job order. About half-way down the page, you'll see a section with a link for viewing the job on your careers website. Follow this link, and copy the URL from your browser's address bar (at the very top, starts with "http://www.catsone.com ...").
When posting your job on Monster, Careerbuilder, Craigslist, etc. just paste this link when asked for an "External Apply Link". When candidates click "Apply" when viewing your job on the job board, it will redirect them to your Careers Website. The benefits of this are numerous, such as catering of the job application, screening, and automatic insertion into your resume database.
Q3.8 I am trying to create an email template to give a status update to a candidate to let them know their resume has been submitted to the client. Could you help?
If you go into the settings tab>administration>workflow> select edit candidates, you can add or edit the triggers (middle box on edit candidates page) to send an email to let them know the status change.
There should be one in there called "Email Candidate with Status Change Notification" already as a default.
Q3.9 How do CATS searches work? What does wildcard searching mean?
Speed
We've increased the speed of search through-out the system. You can now easily search every resume and record in your database and all of your notes and metadata in about a second.
Wildcard Support
Due to numerous requests, we've dropped "Partial" searching in favor of wildcards. This means searches like "andr" will no longer find candidates named "Andrew". You will now need to use the wildcard character (*) with your search. Using wildcards, the search of "andr*" will match "Andrew" and "Andre".
Wildcard searching provides better results and is generally easier to understand for most people.
You can combine the power of wildcard searching with boolean searches using keywords like AND, OR, NOT, double quotes ("") and parenthesis (). As an example, the following search would match any candidate with the name Andrew, Andy or Andre and a last name ending in the letters "son":
(andrew OR andy OR andre) *son
Would match: "Andrew Anderson", "Andy Carlson", "Andre Danielson"
Relevance
Many people have asked for title-only searches to help remove the clutter of an all-in-one search. For example, if you have a company in your database named "Microsoft", a search for "Microsoft" would yield not only that company but also any resume or notes containing the word "Microsoft" which could make it difficult to find that company mixed in with all the other records.
We're now introducing the concept of relevance, which scores each result by a number of factors. Title only matches will appear with a high relevance and will be shown in bold. In the previous example, Microsoft would be the first result and in bold text so it's easy to locate quickly.
Additional relevance scoring criteria includes scoring newer records higher than older records, scoring based on number of matches, and the score of certain fields over other fields (email is higher priority than notes, for example).
Lastly, we've also begun listing how the result was found with a short description. For example, if your search found a candidate by the contents of their resume, a "Found in Resume" description will appear. If it's a title match, a "Title Match" will appear.
Consolidation
In the past, to perform a candidate search you would need to browse to the candidates tab and enter your search. Quick search was available on the upper right, but only searched a certain amount of data. Our new search consolidates all of these searches into a single search bar on the upper left of every page.
After performing a search using the new search feature, you will have to option to "convert" the search to a candidate, contact, job order or company search which would allow you to add additional filters (like zip code radius searching), perform mass actions and generate reports.
Q3.10 How do I add an image to a job posting?
To add content like an image to a job order posting, you'll first need to host the image on a website somewhere. Because the image is probably on your computer, other people won't be able to see it otherwise. If your image is already hosted somewhere, such as on your website, skip the next instructions and just copy the URL/link to your image. Otherwise, here is an easy way to have CATS host your image:
- Click on the Companies tab.
- Click on Go to My Company.
- Scroll down to Attachments and click Add Attachment.
- Upload your image.
- The new image will show up as a link. Click on that link.
- Copy EVERYTHING from the URL address bar of your browser (it's the part where you might type "www.google.com" at the top of the screen).
Now, add or edit a job order. In the description area:
- Click on the icon that looks like a canvas, when you hover it with your mouse it will say Insert/Edit Image.
- Paste your image URL (from the previous instructions) into the first field titled URL.
- Press OK.
Q3.11 Have you thought about adding a dropdown for immigration status?
While we don't do this automatically, you can add a custom field to your application by going to website>job applications>click on the application you wish to edit>edit questions>add question.
Q3.12 Is there a way to take the resumes that are received in my email and forward them to an email address so they parse into CATS?
There is. The resume inbox feature. To access this click on the candidates tab>resume inbox and then there should be a link highlighted in yellow that says "How to send resumes to email inbox".
Q3.13 I see that I can turn the tracking on for EEOC, but is there a template that can be added to the career page, so if a candidate uploads a resume, is there a drop down that can be created where they fill it out themselves?
Yes. For existing job orders you will need to go into each of them, click edit, set applications, and click the checkbox for the applications you want selected. You can drag and drop for the order you would like them to be in. For future job orders, same idea. Click on set applications at the bottom and follow the above steps.
If you go to the website tab>job application(in blue bar) select your default application, click on edit questions, and add EEO-1 questions, this will automatically add these questions to your default application each time a new job order is created.
