Q2.1 Can I and how do I mass import resumes into CATS?

Yes. We recommend that you have all of the resumes saved into a folder on your computer. While logged into CATS, go to  Candidates >Import CSV (Excel-Compatible)> "Choose File" to find your resumes and "Submit"

CATS will automatically convert the resumes into candidates, parse the resumes for searching later, and attach the resume to the candidate's profile.

Accepted resume formats: Excel (.xls or .csv), Word 2007 (.docx), Word 2003 (.doc), PDF, Text (.txt), Rich-Text (.rtf), HTML (.html)

Q2.2 Can I and how do I send mass emails?

Yes, you are able to send mass emails using our Email Blast feature. Email Blasts can be sent to both candidates and contacts.

Sent email blasts are automatically stored in Activities » Email History, allowing you to refer back to or resend to more recipients. To send Email Blasts:

  1. Navigate to the Activities tab within CATS.
  2. Click the Send Email link in the blue bar.
  3. Populate the To: list manually or through a list to send to more than one recipient.

Q2.3 How do I change the order of the fields when viewing a candidate?

Clicking on the Candidates tab, then clicking on a candidate's name shows you the details of a candidate. If you have a lot of extra fields, you may want to rearrange them so that the most important ones appear at the top.At the top of the page, on the right hand side, you should notice a little padlock icon.

If you click the icon, it will change into an open padlock. At this time, you will be able to drag and drop the fields, and arrange them however you like. Clicking the padlock again will change it back to the locked position, and save the changes. You can rearrange the fields like this wherever you see the padlock icon, such as in companies, contacts, job orders, etc.

Q2.4 How do I send resumes directly to CATS?

Each Professional CATS account gets its own unique email address to send resumes into CATS. The format of the email address follows: resumes@mysiteID.catsone.com, where mysiteID is the unique login web address that you created upon signing up. Please ensure that the resumes you send/forward to CATS are attachments, NOT text in the body of the email message.

The resumes sent as attachments to CATS via this unique email address will automatically be parsed for later searching and added as a candidate. The resume will be attached to the candidate profile as well.

If you forget this email address (to send resumes directly into CATS), you can find it within CATS, in the Candidates tab and at the bottom of the candidates list. Additionally, we have a video tutorial that covers this very topic.

Q2.5 How do I save my search terms?

The most frequently used things in the candidate listings are the search and filters. After adding all the filters and keywords you want, you will have your desired list of items.

To save the current search, all you need to do is click on the magnifying glass next to the search box. A drop-down will appear showing other saved searches, and allowing you to give the current search a name.

After naming the search, you can access it by clicking on the magnifying glass again and choosing it in the list. I have included a screenshot showing the drop-down menu.

Q2.6 How can I mark activities as completed?

We have implemented a new feature called Tasks, which are like activities that you can "check off" once completed. When viewing a candidate, contact, job order or company record, look on the upper right hand corner for two small icons.

When you hover the icon that looks like a check box, it should pop up with a description: "Add a Task". You create a task like an activity, once it's been created it will show up on the record itself, in Activities -> My Tasks and in your email inbox. When you're done, check the green checkbox to mark it completed.Tasks can be also be assigned to other users.

Q2.7 How do I customize my user signature?

CATS users have the ability to customize their signature for outgoing emails (sent by the user) and their signature that is used on the careers website (once a candidate applies to jobs that the user is assigned to). User Profiles are accessible through the Settings tab -> My Profile. There are two ways to add your signature:

  1. Have CATS automatically create your signature for you, based on the profile.
    • Enter in all your information into the fields and click "Generate Email Signature" and/or "Generate Website Signature); [see blue highlights in below image]
  2. Copy and paste the signature from your Outlook/Thunderbird signature into the signature editor.
    • If your signature includes an image and if the image is linked, the image and link will also get copied and added to your signature. This same step also works if you are using email applications other than Outlook/Thunderbird.

Q2.8 How do I add a resume to an existing candidate record?

If a candidate already exists in your database but does not yet have a resume, you may do one of two ways to add the candidate's resume to the candidate record:

  1. [New careers website only] Request for the candidate to Register him or herself at your careers website (http://.catsone.com/careers/), where is the unique webaddress that you use to log into CATS. You may also find the yellow highlighted careers website link in the Website tab. Since the candidate already exists and is just sending in their resume, CATS will update the existing record with any new information the candidate enters, along with attaching their resume. This option is recommended so that the candidate can apply to your jobs, login to see which jobs they had applied to and update their record at any time.
  2. Receive the resume from the candidate via email and attach the resume to the candidate record yourself manually. Each record type (job orders, candidates, companies, contacts) has an Attachments section in their details page. Use the Add Attachments button to attach files to the record.

Q2.9 How can I change my password?

CATS allows you to update all of your personal information including First Name, Last Name, User Name, Password, and much more.

For Administrators: You do this by clicking on the Settings tab, and then clicking on the User Management section in the top blue bar. Select a user by clicking on their name, and then use the edit button. You will be shown a form where you can update your information and save it.

For other users: You do this by clicking on the Settings tab, and then clicking the My Profile link in the blue bar. Then click the Edit My Information button and enter your new password and Save the changes.

Q2.10 I have a recruiter list & need to email them all automatically when the job status changes. How can I do this?

To do this, you'll want to create an email trigger for your job orders.

1) Navigate to the Settings -> Admin -> Customize Workflow -> Edit Job Orders section of CATS>

2) Create a new trigger by clicking the middle tab, and make it an email trigger. When creating the template, you'll have to add the email addresses individually.

3) Once saved, go back to the statuses overview, and click on the status you want the trigger fired on. Scroll down to triggers and make sure the trigger you just created is selected and you should be set.

Q2.11 How do I publish a list?

CATS allows you to publish a list so that you can share you candidate records with your hiring managers or clients. To do this:

1) Create a static list. One way to do this, if you want to share a list of candidates who applied to their job order, would be to navigate to that job order in your system and scroll down to the Candidate Pipeline section. Click the # Results drop-down and click the Add to List option.

2) Create your list and navigate to your Lists tab and click on your newly created list. At the top, you will see a Publish button, click on this. Now, choose the fields you would like to share with the person viewing this link, set a password (optional), and finally click the Publish button.

A URL will now be generated for you to share with your hiring managers or clients.

Q2.12 How can I copy a candidate pipline from one job order to another?

One of the many features CATS offers is the ability to copy a candidate pipeline from one job order to another. To do this, please follow these steps:

  1. Navigate to the Job Orders tab within CATS.
  2. Click on the job order name from the grid that you want to copy the candidates from.
  3. Scroll down to the candidate pipeline. Here you will want to select the individual candidates that you want to copy by clicking the checkboxes next to their names.
    • (Tip: if you want to copy the whole pipeline, select the All option at the bottom).
  4. Now, click the Mass Action drop-down box (the one that says # Results in the top right of the candidate pipeline) and select the Copy Pipeline option.
  5. Select the job order from the list that you want to copy the candidates to, and click the Copy Pipeline button.

Q2.13 How do I customize my candidate statuses?

CATS gives you the ability to customize your candidate statuses as you see fit.

  1. Navigate to the Settings tab within CATS.
  2. Click on the Customize Workflow link on the blue bar.
  3. In this case, we want to edit the candidate statuses, so click the Candidates link on the main page.

From here, you are able to:

  1. Add/edit status names.
  2. Add custom triggers that create tasks, emails, etc... when changing statuses.
  3. Set pre-requisites for existing statuses.

When done making your changes, be sure to click the Save button at the bottom.

Q2.14 How can I edit the status of multiple candidates at once?

When you want to perform an action on multiple records at once, you will use the mass actions drop-down menu. This is a blue menu that displays "# of Results" on the upper right hand
corner when viewing a list of items in CATS.

The mass actions drop-down will display a number, such as "1,024 results". This is how many records will be affected by your action. To change this number, perform a search by entering text in the LEFT most search box and click "Search" or add filters by clicking the "Add Filter" button. This will narrow the results down. Alternatively, you can check the boxes on the left of each record if all the results that you wish to act upon are visible on a single page.

To change the status of candidates in a pipeline:

1) Click on the mass actions drop-down (see above).
2) Choose "Change Status".
3) Select the status to change all of the candidates to (i.e.: "Client Declined").
4) Save Changes.

Important Note: This feature is only available in the new workflow system implemented mid-2009. If you created your account prior to that, you'll need to convert your data to the new workflow system. This can be accomplished in the Settings tab, click "Customize Workflow" in the blue bar.

Q2.15 How can I change the status of multiple job orders at once?

When you want to perform an action on multiple records at once, you will use the mass actions drop-down menu. This is a blue menu that displays "# of Results" on the upper right hand corner when viewing a list of items in CATS.

The mass actions drop-down will display a number, such as "1,024 results". This is how many records will be affected by your action. To change this number, perform a search by entering text in the LEFT most search box and click "Search" or add filters by clicking the "Add Filter" button. This will narrow the results down. Alternatively, you can check the boxes on the left of each record if all the results that you wish to act upon are visible on a single page.

To change the status of multiple job orders:

1) Click on the mass actions drop-down (see above).
2) Choose "Change Status".
3) Select the status to change all of the job orders to (i.e.: "Active").
4) Save Changes.

Important Note: This feature is only available in the new workflow system implemented mid-2009. If you created your account prior to that, you'll need to convert your data to the new workflow system. This can be accomplished in the Settings tab, click "Customize Workflow" in the blue bar.

Using the old workflow, substitute "Change Status" for "Edit" in step #2 to accomplish the same end result.

Q2.16 How can I edit multiple records at once?

When you want to perform an action on multiple records at once, you will use the mass actions drop-down menu. This is a blue menu that displays "# of Results" on the upper right hand corner when viewing a list of items in CATS.

The mass actions drop-down will display a number, such as "1,024 results". This is how many records will be affected by your action. To change this number, perform a search by entering text in the LEFT most search box and click "Search" or add filters by clicking the "Add Filter" button. This will narrow the results down. Alternatively, you can check the boxes on the left of each record if all the results that you wish to act upon are visible on a single page.

When you click the mass actions drop-down, you'll be given a list of actions you can perform. These actions vary based on the type of data (i.e.: candidates, contacts, etc.). Common actions are print, edit, download to excel, delete, etc..

Q2.17 How do I add candidates in a list or from a search to a job order pipeline all at once?

When you want to perform an action on multiple records at once, you will use the mass actions drop-down menu. This is a blue menu that displays "# of Results" on the upper right hand corner when viewing a list of items in CATS.

The mass actions drop-down will display a number, such as "1,024 results". This is how many records will be affected by your action. To change this number, perform a search by entering text in the LEFT most search box and click "Search" or add filters by clicking the "Add Filter" button. This will narrow the results down. Alternatively, you can check the boxes on the left of each record if all the results that you wish to act upon are visible on a single page.

To add multiple candidates in a list or from a search to a job order all at once:

1) Click on the mass actions drop-down (see above).
2) Choose "Add to Pipeline".
3) Search and select the job order to add the candidates to.
4) Click on the title of the job order to complete the action.

Q2.18 How do I copy an existing job order to a new one?

Often times, you may find yourself creating the same job requirement/description. In order to ease this process, we have a feature to easily copy an existing job order to a new one:

  1. Click on the "Job Orders" tab within CATS.
  2. Click the "Add Job Order" link from the blue bar.
  3. Near the top, you will see a button called "Copy Existing". Click that.

From here, you can choose which job order you would like to copy.

NOTE: You can only copy active job orders.

Q2.19 How do I install the CATS Firefox Toolbar?

The CATS Firefox Toolbar has the ability to extract and parse resumes from Monster, Hotjobs, CareerBuilder, and LinkedIn. This makes adding resumes to CATS a seamless process.

To install the toolbar:

  1. Click the "Settings" tab within CATS.
  2. Click the "Downloads" link in the blue bar.
  3. Follow the on-screen instructions to install the CATS Firefox Toolbar.

NOTE: This feature is only available for professional users.

Q2.20 Can I add a job order to an email?

Yes. If you click on "add recipients and more" in the email, you can choose append: job order.

2.21 How do I modify the subject of an automatic email?

If you click on the website tab, and click on customize email messages, click the plus sign (+) next to incoming or outgoing messages, depending on which email message you are looking to change. You can edit the email subject there.

2.22 How do I forward a candidate to a hiring manager for their approval and how does the approval get back to CATS?

You will need to have a company with a contact associated with the job order. In the candidates profile, there will be a little clipboard icon next to the candidates resume that reads "submit candidate to client" it will automatically bring up an email to send to that hiring manager. The hiring manager will email you back directly, and you can put the approval into CATS manually.
